This Policy Manual outlines the standards, guidelines, and commitments that govern our
operations and relationships with clients. It ensures transparency, protects both parties, and sets
clear expectations for how we conduct business.

By engaging with TMI Life Concerns, clients agree to abide by these policies, which are
designed to create fairness, accountability, and trust.

1. Payment & Refund Policy

  • Advance Payment: Most services require full payment upfront or a non-refundable retainer before work begins.
  • Installment Plans: For larger projects such as branding, business setup packages, or call center solutions, installment plans may be available upon agreement.
  • Refunds:
o Once work has started, payments are non-refundable.
o If a client cancels before services begin, a 25% cancellation fee applies.
o If TMI Life Concerns is unable to deliver the service due to our own fault, a prorated refund or credit will be issued.
  • Rescheduling (Consultations): Clients may reschedule consultations with 24–48 hours’ notice. Missed appointments without notice will be charged in full.
  • Late Payments: Invoices not paid within 15 days of the due date may incur a 10% late fee.

2. Scope of Services

  • Defined Services: TMI Life Concerns provides professional consulting and support services in the areas of business consultation, home care business consultation, accounting and payroll, tax preparation, branding and online presence, contact center solutions, HR services, USCIS paperwork assistance, and notary services.
  • Service Agreements: Each engagement is guided by a written Service Agreement or Scope of Work (SOW) that details the deliverables, timelines, and fees.
  • Out-of-Scope Work: Any services requested beyond the agreed scope will be billed separately at standard consulting rates.
  • Special Compliance Services:
o Notary Services are performed in compliance with applicable state laws and cannot be altered.
o USCIS Paperwork Assistance is limited to form-filling and document support; we are not attorneys and do not provide legal advice or representation.
  • Customization: Services may be tailored to meet specific client needs, but adjustments must be documented and approved in writing.

3. Confidentiality & Data Protection

  • Confidential Information: All client information, whether business, financial, personal, or immigration-related, is treated as strictly confidential.
  • Non-Disclosure: TMI Life Concerns and its subsidiaries will not share, sell, or disclose client data to third parties without written consent, except where required by law.
  • Data Handling:
o Digital records are stored securely and protected against unauthorized access.
o Paper records are kept in locked storage and disposed of securely when no longer needed.
  • Subcontractors: Any contractors or partners engaged by TMI Life Concerns are required to sign and comply with confidentiality agreements (NDAs).
  • Client Responsibility: Clients must also safeguard sensitive information shared with them during the engagement and are responsible for the accuracy of all information they provide.

4. Client Engagement Policy

  • Communication: TMI Life Concerns responds to emails, calls, and messages within 24– 48 business hours.
  • Appointments: All meetings or consultations are by appointment only and must be scheduled in advance.
  • Punctuality: Clients are expected to join sessions on time. Late arrivals may reduce the session length without refund or rescheduling.
  • Client Responsibility: Clients must provide complete, accurate, and timely information to ensure effective service delivery. Delays caused by missing or inaccurate information are the client’s responsibility.
  • Professional Boundaries: While we aim to build trusted partnerships, all interactions must remain respectful and professional. Abusive, dishonest, or unethical behavior may result in termination of services.
  • Performance Statement & Disclaimer: TMI Life Concerns is committed to delivering high-quality services with professionalism, diligence, and care. Our proven track record and client testimonials demonstrate our ability to provide excellent results and keep projects on track. While we are confident in the value and impact of our services, certain outcomes – such as business growth, tax results, or immigration approvals – depend on factors outside our control. Therefore, TMI Life Concerns cannot guarantee specific results, though we commit to doing everything within our professional capacity to help clients succeed.

5. Ethics & Integrity Policy

  • Core Values: TMI Life Concerns operates with honesty, professionalism, and respect in all client relationships.
  • Transparency: We provide clear, accurate information regarding our services, fees, and limitations.
  • Conflict of Interest: If a potential conflict arises (for example, consulting for two competing businesses), it will be disclosed promptly, and appropriate boundaries will be maintained.
  • Subsidiary Alignment: All subsidiaries, TMI Crystal Cleaners and Agape Experience Car, adhere to the same ethical standards and align with TMI Life Concerns’ mission of integrity and trust.
  • Faith & Inclusivity: While some services may be guided by values rooted in faith, TMI Life Concerns welcomes and serves clients of all backgrounds, beliefs, and communities with fairness and equality.
  • Professional Conduct: All staff, contractors, and partners representing TMI Life Concerns are expected to maintain professional behavior, confidentiality, and respect at all times.

6. Compliance & Legal

  • Regulatory Adherence: TMI Life Concerns and its subsidiaries operate in compliance with all applicable federal, state, and local laws.
  • Notary Services: Provided strictly under state notary laws and regulations. We cannot alter or bypass legal requirements, nor provide legal advice in this capacity.
  • Tax Services: Clients are responsible for supplying complete and accurate records. TMI Life Concerns is not liable for penalties or issues arising from inaccurate or incomplete client-provided information.
  • Immigration (USCIS Paperwork Assistance): Our support is limited to document preparation and guidance. TMI Life Concerns is not a law firm and does not offer legal representation or immigration legal advice.
  • Contractual Agreements: All services are governed by written agreements that outline deliverables, timelines, and responsibilities for both parties.
  • Liability Limitation: To the extent permitted by law, TMI Life Concerns’ liability is limited to the fees paid for the specific service in question.

7. Dispute Resolution

  • Good Faith Resolution: In the event of a disagreement, both parties agree to first attempt resolution through open and respectful communication.
  • Mediation: If a resolution cannot be reached, the matter will be referred to mediation with a neutral third party before pursuing legal remedies.
  • Arbitration: Where required or mutually agreed, disputes may proceed to binding arbitration as an alternative to court proceedings.
  • Jurisdiction: All disputes will be governed by the laws of the State of Washington, unless otherwise agreed in writing.
  • Costs: Each party will bear its own costs related to dispute resolution, unless otherwise determined by a mediator, arbitrator, or court.

8. Termination of Services

  • By Client: Clients may terminate services at any time with written notice. However, all payments made are non-refundable, except for portions of services not yet delivered, which may be eligible for a pro-rated refund or service credit.
  • By TMI Life Concerns: We reserve the right to terminate services if a client fails to comply with agreed terms, engages in unethical or abusive conduct, or does not meet payment obligations. In such cases, payments already made will not be refunded, though pro-rated consideration may be given at our discretion for undelivered services.
  • Effect of Termination: Upon termination, TMI Life Concerns will return any clientowned documents or property in our possession, provided all outstanding fees have been paid.
  • Future Engagements: A terminated client may re-engage TMI Life Concerns in the future only at our discretion and under new terms of service.
